Santa Photography Cancellation, Rescheduling & Refund Policy
Effective October 6, 2026
We understand that plans can change, especially during the busy holiday season. Our Santa Photography Sessions are limited seasonal appointments, with Santa, our photographer, staff and studio time reserved specifically for your family.
As a small family business, these costs continue even when an appointment is cancelled. If we refunded or moved every booking affected by a schedule change, we would not be able to cover our overhead and continue offering this experience.
By booking with Ultimate Santa, you agree to the following terms.
Cancellations With At Least 48 Hours’ Notice
Cancellations made at least 48 hours before your scheduled appointment are eligible for a refund, less a $50 administration fee.
Refunds will be returned to the original method of payment.
Cancellations With Less Than 48 Hours’ Notice
Cancellations made less than 48 hours before your appointment are non-refundable, unless we successfully fill your session with another paid booking.
We will attempt to refill your appointment, but replacement bookings are not guaranteed. If we successfully fill your session, we will notify you and issue a refund, less a $50 administration fee. If the session remains unfilled, no refund will be issued.
Please cancel as soon as possible to give us the best opportunity to fill your appointment.
Appointments cannot be rescheduled with less than 48 hours’ notice.
Rescheduling
Appointments may be rescheduled with at least 48 hours’ notice, subject to availability and applicable seasonal pricing.
Illness & Personal Schedule Changes
The same cancellation and rescheduling terms apply to illness, weather, sports, Christmas concerts, work commitments and other personal circumstances.
Please stay home if anyone attending your session is unwell. This helps protect Santa, our team and the other families visiting us.
Families arriving with a visibly unwell participant will be turned away. The appointment cannot be rescheduled and is non-refundable unless we successfully refill the session with another paid booking. If refilled, a refund less the $50 administration fee will be issued.
No-Shows
If you do not attend your appointment and have not cancelled beforehand, your booking is considered a no-show.
No-shows are non-refundable and are not eligible for a credit or complimentary rescheduled session.
Late Arrivals
Please arrive 15 minutes before your appointment to allow time to park, check in and get ready.
If you arrive late, your session will still end at its originally scheduled time, reducing your time with Santa. We cannot extend your session into another family’s appointment.
Late arrivals do not qualify for a refund, partial refund or complimentary rescheduled session.
Winter Weather
Sessions proceed during normal Alberta winter weather. Please check road conditions, allow extra travel time and drive safely.
When sessions are proceeding as scheduled, weather-related cancellations and missed appointments follow the terms above.
If Ultimate Santa determines that conditions are unsafe and cancels your session, we will contact you directly and offer the options below.
If Ultimate Santa Cancels
If we must cancel your session, you may choose:
Another available appointment at no additional charge; or
A full refund of the amount paid for the affected session.
Refund Processing
Approved refunds will be returned to the original method of payment.
Please allow approximately 5–10 business days after the refund is processed for it to appear in your account. Processing times may vary depending on your financial institution.
Existing Bookings
This policy applies to bookings made on or after October 6, 2026.
Earlier bookings remain subject to the cancellation, rescheduling and refund terms provided when the original reservation was made.
Managing Your Appointment
Use the “Change/Cancel Appointment” link in your confirmation email to cancel or make eligible changes.
